Some businesses have fully embraced the digital revolution, keeping filing cabinets empty and all their documents saved on the cloud. However, there are still a lot of companies that cannot get out of the habit of printing documents, with their drawers bursting and their printers constantly busy.

- Better data protection

These days, it is a lot easier to protect data on computers than it is in an office – and if you keep all your important information in a cupboard, you put all your company’s private information, and possibly your clients’, in jeopardy if someone breaks in.

There is extra risk involved in having physical copies of documents, as they could get into the wrong hands or could easily be copied without the business even knowing about it.

 

- Go digital

Although there is still a threat associated with storing data digitally, if documents are saved on the cloud, it is extremely difficult for anyone to gain access to them.

Even if your computers, phones or tablets were stolen, the thief would not be able to see the data without securing passwords to access the cloud. What’s more, it would remain accessible for members of staff, even if their software was taken.

Therefore, going digital allows companies to continue to hold the necessary information about their business, clients or customers without the risk that someone without authority will see them.

 

- GDPR legislation

Last year, the Information Commissioner’s Office tightened legislation regarding General Data Protection Regulation (GDPR) across Europe. This meant a lot of changes for businesses, as they now have to have a careful and considered data management system.

Companies cannot hold on to customers’ or clients’ data, as this information can only be collected and used for specific purposes. It must be kept securely until this has been achieved, and after this, it has to be destroyed carefully.

That is why more and more businesses are likely to employ document shredding services in London over the course of the year, as they are not allowed to store information after this purpose has been fulfilled.

While lots of firms will be focussed on altering their computer software to ensure data is not kept for longer than necessary, it is also important to remember physical documents as well.

According to a recently study by News Anyway, as many as 40 per cent of businesses in the UK did not realise that paperwork was also subject to GDPR legislation, and losing any could be considered a breach of an individual’s rights.

Another big reason why businesses should consider a big clear out and destroy lots of old uniforms, documents, media and paperwork is it will help them save a lot of space.

Renting a larger office could add considerable cost to a company’s budget. Therefore, in order to create more space for desks, kitchen facilities, and boardrooms, it is a good idea to get rid of anything that is no longer needed.
